PRINCE OF PEACE COUNCIL MINUTES
May 21, 2009
“Walking Together, Growing in Faith”

Opening Prayer: Father Tony led us in opening prayer.

Pastor’s Report: No written report. Father noted elections will be held the weekend of May 29th and 30th.  He asked the parish council for guidance in the new space on how to conduct the elections.  We have five candidates and four positions to be filled.  The new rectory is almost ready to move in.  Thank you to Al DeBo and Mark Morrison for getting the shower ready in Fr. Thom’s bathroom and other little details throughout the house.  The shower was much more in depth than what was originally thought.  Thanks to Ray Mantsch for all the hours of painting he has done.  He is doing a great job.  Thanks to Cathy Eggers for her assistance with the interior decorating.  She got a great deal on the living room furnishings.  It will need a good cleaning when all the work and painting is done, before we move in.  Bishop Amos has relieved Fr. Tony of his duties as administrator for the parishes in Lost Nation, Toronto, and Oxford Junction.  Another priest from the Diocese has come out of special ministry and will be able to fill the position in Fr. Kneemiller’s absence. 

Old Business: 

  • Pastoral Council Elections Update:  Elections will be held in the gathering space with tables on each side with ballot boxes.  Hospitality people will hand out ballots before Mass.  People can cast ballots before or after Mass and place them in the boxes.  Signs need to be made to remind people “Don’t Forget to Vote Today!” The ballots for the early liturgies will be counted by the Parish Council after the 10:30 Mass.  Marc Smith volunteered to count ballots and he will check to see if Tom Van Buer is available also.  School Board elections will be held at the same time and Christy Roth will count School Board Ballots.  The 6 pm Mass ballots will be counted on Monday. 

New Business: 

  • Diocese Planning Commission: Father Tony shared that he was part of this committee and the Clinton Deanery will be the first to begin the planning.  See form “Local Area Parish Planning Process Time Line.”  The Parish Council will need to have a committee to work on this part with others from our deanery.  The Clinton Deanery will begin this process in August. 
  • Diocese Capital Campaign - Pilot Parish: Ed Kross reported:  Melissa Watson is the Diocesan Representative for the Capital Campaign.  Our parish will begin the campaign this fall.  By being a pilot parish we will gain additional support from the Diocese and Campaign Personnel. The parish goal is not like the ADA but does have benefits for the parish.  Example is the 20% of monies collected will come back to the parish.  If we meet the parish goal additional monies will come back to the parish.  This could help pay off our outstanding bills on our current debt.  It is a traditional style campaign.  The bishop is going out soliciting donations for this campaign.  He has commitments of over one million dollars.  Fr. Tony needs to uncover leadership from our parish and is asking the council for help with this. 
  • Review New Church
    • Routines: Nothing to report
    • Questions/Concerns: (The following questions/concerns were brought to parish council by a parishioner) 
      • Concern was expressed about the family room being locked during Mass when a mother wanted to breast feed her child.  It was shared that the family room does not have direct sight line with the worship space and should not be used during Liturgy.  The ushers do not have a key to the extra rooms in the building so they would not be able to unlock a door.  Suggestion was made that the gathering space can be used for this as well as the hallway to the music room.  There is little traffic through there when liturgy is going on.  Another suggestion is to put a chair in the vesting sacristy bathroom and allow a nursing mother to go in there for privacy.
      • Could we have a 4 pm Mass back?  Response to the question is: The main reason this will not happen is due to weddings.  You cannot have a 2:00 wedding and 4:00 Mass. 
      • How do we address those who cannot come forward for Communion?  Eucharistic Ministers will be informed to continue to watch carefully before leaving their stations.  The ushers will also be asked to help identify these individuals when they come forward for Communion.  It is helpful if an individual can stand next to the person that needs to receive so that they are noticeable.  We will continue to work on this. 
      • Is parking allowed in the circle drive?  This area needs to be marked.  There will not be parking in the area in which there is the sidewalk.  Markings will be made for the other part of the circle drive. 
    • Traffic-Gate: Pass through traffic is still a big problem.  The finance council allocated expenses for a gate at the approval of the council.  Communication signs need to be made to make everyone feel welcome and to direct traffic to an alternate entrance. 
      • Stan Tenboer moved that a gate be placed at the north entrance to stop the through traffic flow.  The south entrance will be used as the main entrance during regular office hours.  Both gates will be open for weekend liturgies, weddings, and funerals.    
      • A second was given by Lenny Weih.
      • Motion passed unanimously. 
  • Facilities Report: Dave Schnier reported that Trees Forever will be here on the 30th of May at 8:00 am to plant additional trees and scrubs.  Everyone is welcome to come and help. 

 

Prince of Peace School Report: Written report submitted.

COMMISSION REPORTS:
Parish Life Commission: No written report.  Mary Beth reported that the auxiliary ladies met and could not find a date for a spring luncheon.  They decided to have a bake sale to raise funds.  The Bake Sale will be on Father’s Day weekend.  They will sell homemade items at all the Masses except 6 pm.  Everyone who is on the baking/salad/dessert list will be called to donate for this bake sale. 
Liturgical & Spiritual Life Commission: Written report submitted.
Social Action Commission: Written report submitted. Prince of Peace Parish will be hosting the Crop Walk on Oct 11th. 
Finance Commission: No written report. Ed reported they put out requests for proposals for the demolition of St. Mary’s Church.   Three bids were received.  One was accepted.  Demolition will begin in June and completed by September.  They are encouraged to be green in the demolition.  There are a lot of good structural things in that building.  Work on the 2010 budget has begun.  More work still needs to be done. We hope to have a final proposed budget at the next meeting.  The storage building that we have been trying to sell for a long time has finally been sold.  This was done at a loss, because of the way circumstances evolved.    
Faith Formation Commission: Written report submitted.  The Christian soft rock group “Watching Judas” will be in town on Saturday, June 13th @ 7 pm at the Education Center Gymnasium.   
Evangelization Committee: Written report submitted. In January we will have a mission. 
Stewardship Committee: Written report submitted.  A subcommittee is going out to visit the new people of the parish.  We are looking for help especially with the Hispanic families.  A time and talent search is being planned for the fall.  We will need everyone’s input on what the needs are for the different commissions. 

Other Information

  • Fr. Tony reported on how we are going to recognize memorials for gifting to the parish through our Building Peace.   Memorial gifting will be in a booklet.  This will be located in the gathering space.  Three sections will be part of this booklet: memorial gifting, building peace gifting, bequests.  This will be done in a very nice booklet and will be updated with additional pages.  It is being done with hand calligraphy.  It will take at least seven months to complete.
  • An information kiosk, like the one from St. John Vianney’s, is what we would like to duplicate.  We will order this kiosk which will include a place to post information as well as hold pamphlets.  It is moveable and free standing. 
  • A bus trip is being planned to Our Lady of Guadalupe in La Crosse, Wisconsin, on August 3rd.  More details to come.    
  • The Bishop has approved the Holy Land Crafts to come into parishes.  The Holy Land is going through a lot of difficulties.  Holy Land Crafts support the Christians in Palestine and Holy Land area.  Our parish will look at inviting them to sell items this summer.
